ITS Division

The Information Technology Services (ITS) Division was officially established in 1998 in recognition of the critical role IT will play in the success of Monash University as a leading provider of high-quality teaching, learning and research services in an international context.

Headed by Executive Director, Alan McMeekin, the Division has six organisational units with approximately 230 staff.

Applications Services

The Applications Services Department provides systems development, integration, implementation, and support services for the University's information systems, and applications development, implementation, and support. The department manages corporate databases and supports the SAP Enterprise Resource Planning system, and the Student System - Callista, the timetabling systems Syllabus Plus and Allocate Plus - via its staff in the Integrated Administrative Systems (IAS) team. The Web Resources and Development group provides support for web publication in the University, the provision of the main University websites, and an increasing range of website virtual hosting services (www.arts, www.law, etc.). Amongst many other applications is the my.monash portal, and MUSO provided by the Flexible Learning and Teaching (FLT) team.

Client Services

The Client Services Department provides the direct interface between the Division and its customers. This includes:

  • provision of audio-visual and IT related services to teaching facilities, ie lecture theatres and other venues;
  • the provision of Service Desk, switchboard and support services;
  • customer communications including print and electronic publications.

The Department also plays a major role in the provision of IT training services that support the University's IT strategies.

Corporate Services

The Department of Corporate Services establishes and manages the business, financial and human resources functions for the Division. It manages staff facilities (accommodation and other building issues), and provides general administrative support across the Division. It is responsible for establishing the Service Management function including the ITS Services Catalogue, Strategic Cost Management, facilitating the establishment of service level agreements and a performance management system for the Division.

Information Management and Strategic Planning

The Information Management and Strategic Planning department has a number of areas of responsibility which contribute significantly to the strategic direction setting and planning processes of the division

  • IT Strategic Planning
    Facilitate the annual process which focuses on future directions of IT development and support and alignment with the university’s broader strategic direction.
  • IT Architecture
    Lead the ongoing promotion, review and governance of IT architecture for the university.
  • Information Management
    Develop and support improved information management practices, with the aim of working with information more efficiently and effectively, delivering information and services using web technologies, providing high-quality management information and supporting effective collaboration.
  • Project Portfolio Management
    Provide support and guidance to the IT Development Portfolio, ensuring that overall budgets, timelines and issues are managed and that appropriate prioritisation of budget and resources is maintained.
  • Project Methodology support
    Provide support and guidance on the project methodology adopted by ITS, encouraging best practice, with the aim to increase the chance of successful project delivery and realisation of benefits.
  • Quality Management
    Lead the ongoing review, development and tracking of quality management for ITS, to ensure the division is meeting its quality obligations.

Infrastructure Services

The Infrastructure Services Department provides and manages the University's shared IT infrastructure facilities via its six sections (amongst which there is often required a joint effort in fulfilling responsibilities).

  • Identity and Messaging Services
    Identity Services comprises a range of registration and authentication activities. The main services provided are the Monash Directory Service (MDS) and the Hybrid Directory Service (HDS). These store authentication and profile information for staff and students used in turn by a wide range of other services.
    Messaging Services comprises Messaging (primarily email at present), Collabra/News for teaching and collaboration, and Scheduling (Calendar). This bundle of services is sometimes referred to as the Monash Messaging Systems (MMS).
  • Networks Infrastructure Services
    Networks Infrastructure Services (NIS) supports all aspects of the internal Monash networks for data and voice within all buildings and between all campuses including overseas, and the interconnections via microwave and fibre between these and the internet. This includes management of the proxy service, remote access service, storage area network, responsibility for network address management and for the administration of internet domain names, as well as implementing security with virtual networks and access control. NIS responsibility further includes the University's telephone services, e.g. the multi-campus PABX, mobile services, and voicemail and voice processing systems. It includes installation and configuration of cabling and switching hardware, and associated software. It is also responsible for the internet and telephone and data access billing systems for the University.
  • Enterprise Workstation Services
    The Enterprise Workstation Services (EWS) group supports the operation of: the Monash Novell NetWare server environment and the Microsoft Windows desktop environment for staff and students, including printing and print accounting. It also manages virus protection on the Novell network and in the desktop environment.
  • Production Facilities
    Production Facilities supports the operation and maintenance of the IT facilities for which ITS is responsible. This encompasses operational support, computer room site engineering, IT business continuity and IT operational processes.
  • Security and Risk
    To ensure the confidentiality, integrity and availability of Monash IT facilities, the section recommends security policies, procedures and best practices, software and network configurations. It conducts audits and risk assessments of network and local machine vulnerabilities. It also coordinates the handling of security incidents, for example, distributed denial of service attacks and compromised machines.
  • Shared Systems
    The Shared Systems team is responsible for supporting the University's large multi-user OpenVMS, Oracle and Unix computing resources, including administration systems, the main library system, multi-user teaching systems, client-server Unix systems, electronic mail services.
    It plays an important role in ensuring business continuity for the University by provisioning and distributing hardware between two data centres, and managing offsite network based backup facilities, including the hierarchical storage management (HSM) service.

Research Support Services

The Research Support Services Department harnesses the rich capabilities of ITS to meet the demanding and unusual requirements of Monash researchers. It comprises a small team of specialist staff and works in very close collaboration with the Monash e-Research Centre.
