Workgroup Collaboration Review - General Requirements

Background

Information Technology Services (ITS) has commissioned a consultative review of workgroup and collaboration services for staff including email, calendar, document sharing, collaboration groups, videoconferencing, mailing lists and instant messaging.

As all staff will potentially use these types of collaboration services, and will therefore be impacted by the outcome of this review, you are encouraged to take this opportunity to have input into the process of choosing new workgroup collaboration tools.

You should feel free to comment on what you like and dislike about existing workgroup and collaboration solutions as well as what you need from future solutions.

In framing your requirements you might want to consider the following questions

  • What barriers or inefficiencies are inherent in current methods of working collaboratively? What functionality or tools could be used to help?
  • If you work on projects with people at different physical locations or at different institutions what functionality would make this simpler
  • If you think that you will have to work more collaboratively in future what complexities will this cause and how could collaborative tools help?
  • How could the various elements of workgroup collaboration (e.g. document sharing and mailing lists) be integrated to provide more powerful solutions?
  • Have you given up using some currently supported workgroup collaboration tools e.g. Thunderbird, Netscape Calendar, Collabra etc. and if so what functionality or attributes would convince you to try using them again?


Explanation of priorities

Please use the following priority scheme to prioritise your requirements.

If the priority you assign a requirement is based on legal or similar obligation please make note of this when entering your requirement.

Priority Abbreviation Meaning
Mandatory M Functionality required to meet a core need. Requirement must be incorporated in proposed solution.
Highly Desirable HD Functionality required to allow improvements to existing process or to meet new non-core needs. Solutions not meeting these requirements are unlikely to be adopted.
Desirable D Functionality required for likely future requirements or to improve existing minor processes. Solutions not meeting these requirements might be adopted.
