Monash Phone and Monash Fax

Monash has invested strongly in our Voice over Internet Protocol (VoIP) Project. This investment has paved the way for a variety of initiatives, two of which include IP phones and PC faxing. These new services harness the new IP technology to bring new opportunities for staff communication and collaboration. To this end, better utilisation of the data network has enabled us to upgrade the outdated PABX telephone system with IP telephony phone services and the old PABX faxes with innovative and streamlined faxing opportunities.

Enhancing collaboration

Monash Phone

IP telephony technology transmits voice conversations over a data network. Monash University is currently engaged in replacing the outdated PABX telephone system with this new phone service across across the University.

From a staff perspective, this change in technology may be as small as a change in telephone handset, enabling the call to route through the data network instead of the traditional telephone line. More advanced utilisation of this technology, however, could see a full integration with other Monash communication services, enabling more streamlined work practices and staff mobility

Monash Fax

Traditionally, Monash staff have sent and received faxes through a dedicated fax machine but like many other organisations, recent advances in technology have enabled use of multifunctional devices - such as photocopiers with scan-to-email and print capabilities.

As such, the Monash fax project has been scaling back PABX fax machines since 2008 and transitioning departments over to new pc faxing functionality.

This initiative has reduced the amount of equipment required in shared printing and faxing facilities and had made a fantastic impact on the reduction of paper use by the University. Estimates see this paper-saving project equating to 2.7 tonnes of paper or 35 trees per year! Since the projects completion in October 2009, staff who previously had a dedicated fax number for their role will now receive faxes directly to their email inbox (fax-to-email) and all staff are able to send documents by email attachment directly to a fax machine (email-to-fax).

It is expected that many benefits will begin to emerge from the transfer of fax to the data network. One benefit already identified will be the ability to fax purchase orders directly to suppliers from the SAP system.
