Monash Email Quotas

Email quota is the amount of space you have been allocated to store your university emails. The staff email quota is currently 300mb for Australian campuses and 100mb for South Africa.

The contents of all the folders in your Monash email account is included in the quota usage total. This includes the default folders such as:

  • INBOX
  • Sent
  • Trash
  • Draft

The contents of any other folders that you have created or any 'Spam' folders such as Spam-30 are also counted.

To view your current quota status, visit the my.monash portal homepage at: http://mail.monash.edu.au

Exceeding your quota

If you exceed the 300mb, you will receive regular messages informing you that you are over quota.

As a courtesy, an additional 50mb of storage will be allocated to you. Once you have used up this extra 50mb, you will not receive any new emails.

Emails will be bounce back immediately to the sender, with an attached note that you are over quota. (If you send emails with attachments over 10mb, they will also be returned.)

How do I reduce my quota?

1. Delete emails

The quickest method to reduce quota usage is to remove emails from your account that you no longer require and to empty the contents of your 'Trash' folder. It is important to remember that all folders are counted towards your quota total. If you have deleted messages, you will have to make sure that the messages are not still sitting in the trash folder. If they are, you will have to go into the trash folder and delete them again.

Important Note: Once emails have been moved to Local Mail or deleted from your account, they are no longer automatically backed up. If you create an archive of your mail and then move or delete the mail from your account, your archive becomes the sole copy of the deleted mail. It is your responsibility to ensure that your archive file is appropriately back up.

2. Purchase additional storage space

You can do this by visiting: http://its.monash.edu.au/staff/email/quota/purchasing.html. This request must be authorised online by providing the cost centre and fund and approved by your manager.

3. Archive your email

Please note: Archiving emails will not reduce your quota by itself, you will need to delete the archived mail afterwards.
