Monash Email Signatures

Setting up your plain text email signature

  1. Click on the signature file below that you would like to use - this will open the text document. Please note these examples are suggestions only.
  2. Copy the signature example by using edit, copy
  3. Open Notepad - Notepad is a program located under accessories in your program bar. Click on Start, Programs, Accessories, Notepad.
  4. Then click on edit, paste
  5. Replace the generic information with your personal details - and then save the file as a .txt file (text file) in a place that you will remember

Using the signature in Mozilla Thunderbird

  1. Open Mozilla Thunderibrd
  2. Go to Tools->Account Settings


  3. Select your staff mail account from the left pane.
  4. Check the Attach this signature: box.
  5. Press the Choose... button.
    1. The Choose a file window will open. Use this to select your text file from the "Creating a plain text signature" instructions.
    2. Press Open once the text file has been found and selected.
  6. Your signature text file should now appear in the box.
  7. Ensure the Attach my vCard to messages box is not checked.
  8. Press OK
  9. Test this signature by sending a message to yourself - if you find that the signature wraps due to your signatures length then :
    • Go to Tools -> Options
    • Select Composition from the left pane.
    • Under the Composing Messages section - it states ' Wrap plain text messages at __ characters'. - in the box provided increase the number of characters until the signature no longer wraps when sent.
    • For a long example like example2 it could take around 80 characters to avoid the wrapping


Using the signature in Netscape Messenger

  1. Open Netscape Messenger
  2. Go to Edit->Preferences
  3. Under the Category section, go to Mail & Newsgroups
  4. If the full mail & newsgroups sub-directories are not displayed click once on the + symbol.
  5. Go to identity
  6. Under the heading 'signature file' click on choose.
    Select the file you saved in step 4
  7. Ensure the Attach my vCard to messages box is not checked .
  8. If you are using example 2 - the following procedure will ensure that the formatting of your signature is correct.
    • Under the Category section, of Mail & Newsgroups, go to formatting.
    • Under the heading message formatting click on use plain text editor to compose messages.
  9. Test this signature by sending a message to yourself - if you find that the signature wraps due to your signatures length then :
    • Under the Category section, of Mail & Newsgroups, go to messages.
    • Under the message wrapping section - it states 'wrap outgoing, plain text messages at __ characters'. - in the box provided increase the number of characters until the signature no longer wraps when sent.
    • For a long example like example2 it could take around 80 characters to avoid the wrapping
