Voicemail: Getting Started
Before proceeding please read this page and the Voicemail Guidelines document, taking particular note of the discussion of personal greetings. At any time during later sessions with Voicemail, keying # will provide a repeat of options available to you.
If you experience difficulties establishing the service, please submit a request through the Servicedesk or call ext 50556
To set up Voicemail
-
Submit a request through Service
Installations and Changes requesting voicemail to be added to your "extension".
-
You will be notified when your Voicemail box setup has been completed. When you are notified, you will be provided with your initial security code.
-
From your extension dial 26026. Voicemail recognizes your extension number and
will prompt you to enter the provided security code.
-
Voicemail will direct you to record both your name and a personal greeting:
- Name: Your name is recorded by itself to be used to confirm your
mailbox identity by another Voicemail subscriber. It is not part of your answering
message.
- Personal greeting: This will be played to a caller diverted to your
Voice Mailbox and should include your name, eg "You have called Dale Smith of
Information Technology Services... I am unable to take your call right now, but
will return your call ..."
-
On completion your Mailbox is ready to use. It is advisable to test Voicemail from
your caller's perspective, before committing to use it.
Test Voicemail
- Choose a time when you are not expecting calls.
- Divert your extension to 26026 (lift receiver and key #926026).
- Call your extension from another handset and follow the directive of your personal
greeting to leave a test message.
- Clear the diversion at your extension (lift receiver and key ##9). Wait for and
become familiar with the message arrival notification (see Message
Notification for types of notification).
- Call into Voicemail (26026) to retrieve the message, becoming familiar with the
basic message handling facilities.
- If you are happy with your recorded name and personal greeting proceed to the next
step, otherwise follow the directions to re-record either your name or greeting.
Basic Voicemail Service Options
-
Additional extension numbers: You may nominate one or more additional
extension numbers which will share your Voice Mailbox. Callers to these extensions who
are diverted to your extension and subsequently to Voicemail will receive your greeting
and any message left will be left in your Voice Mailbox.
Either list the additional extensions and their users in your Service Installations and Changes request, or by submitting a request through the Servicedesk.
-
Transfer extension: You may nominate an extension to which callers will
be transferred on keying zero. This facility should only be used where appropriate. You
must receive authority from the target extension user and your personal greeting should
reflect the use of this facility. (The target extension must also be a voicemail user.)
If you require one of the basic voicemail service options please request the option in your Service Installations and Changes request or by
submitting a request through the
Servicedesk. All forwardings to, or from your extension will be removed when voicemail
is activated.
Note: previously programmed forwarding of your calls will be replaced
by automatic forwarding on no answer to Voicemail. It may be appropriate that the target
of previous forwarding becomes the target for callers' optional transfers. Your email
should detail the transfer out extension and its user.
If you have finished and wish to revisit any of the steps above, see the
Voicemail Quick Reference Guide .
