Calendar Resource Management

Description

The Calendar Resources Management page is used to create and manage calendar resources (eg meeting rooms, overhead projectors, vehicles). Calendar resources are accessible with Netscape Calendar for booking and viewing resources and associated information.

Location of the tool

The Calendar Resources Management tool can be found by going to
https://mdsadmin.monash.edu.au/cgi-bin/admin/menu and clicking on "Calendar Resources" in the list of options.

When asked to login, use your AuthCate login and password.

Access restrictions

To create or modify Calendar Resources, you must:

  • login using a valid staff AuthCate account.
  • connect from a machine that is registered on the Monash network (130.194.* or overseas Monash hosts)
  • have MDS/MMS administration rights for your department. Please contact servicedesk.its.monash.edu.au if you need to obtain/change your access rights.

Information required

You will need the following information in order to create or modify a Calendar Resource:

  • Required:
  • A name for the resource (made up of a departmental prefix and name)
  • Name of the organisational unit that the resource belongs to
  • Password
  • Optional:
  • Capacity
  • Location
  • Resource Number (eg serial number, license plate)
  • Phone Extension
  • Phone Number
  • Fax Number
  • Contact's Given Name
  • Contact's Surname

Entering the details (creating/editing/deleting)

To enter the details for creating a new resource:

  1. Go to https://mdsadmin.monash.edu.au/cgi-bin/admin/menu
    and click on "Calendar Resources". (Login with AuthCate username and password if required)
  2. Click on "Create a New Calendar Resource"
  3. Enter the details as requested as per Information Required.
    • Notes: A resource must contain a departmental prefix. Contact the Service Desk to request additional prefixes if required. The full resource name will become the prefix and name (eg "Adm Meeting Room 3A/G25")
  4. When all of the details have been entered, click on "Create Resource"
  5. The next screen of information will show you the details which are to be created for the new resource. If you are notified of any details that are missing or in error, go back and correct them.
  6. If a resource with the same name is already listed in the calendar database, you will be told that "A resource by that name already exists." You can either choose a different username, or use the Search Tool to check the status of the existing resource and edit it as required.
  7. Once all the information is correct, the resource will be queued for creation which will take up to 10 minutes to be processed.
Viewing/modifying/deleting an existing calendar resource:
  1. Go to https://mdsadmin.monash.edu.au/cgi-bin/admin/menu
    and click on "Calendar Resources". (Login with AuthCate username and password if required)
  2. Click on "Search for a Calendar Resource (View / Edit)"
  3. Enter the resource name you wish to edit, part of it or a prefix to see a list. You can also additionally choose an organizational unit to search in, or just search an organizational unit for a complete listing of its resources.
  4. Click on the desired resource in the list displayed.
  5. Modify the fields as desired. Note that the resource name and organizational unit are edited seperately.
  6. Click "Change" to update the resource.
  7. The resource will be updated if there are no errors.
  8. Alternatively, pressing "Delete" will delete the calendar resource.

What's next?

New calendar resources will be created and ready to use within 10 minutes if there are no processing problems. The resource will then be accessible via Netscape Calendar utilities.

Changes to calendar resources are effective immediately.

Future maintenance of the resource can then be done via the Directory Services Administration menu.
