Configuring Outlook to use the Monash Directory Service

Prerequisites

This process requires Outlook Express version 6.0 or greater. Instructions for Netscape Communicator are also available. The screen shots below are based on Windows XP running Outlook Express 6.0.

Note about Outlook XP

Outlook XP is different to Outlook Express and it has a known problem with connecting to non-Microsoft LDAP directory servers. There is a fix supplied by Microsoft (issue number #Q311829). If you need the patch and related documentation, please contact ITS Helpdesk.

Instructions

  1. Load Outlook Express.
  2. Go to the "Tools - Accounts" menu option.
  3. Switch to the "Directory Service" tab (see below).

  4. Click "Add - Directory Service" to add a new Directory Service.
  5. When the "Internet Directory Server Name" dialog appears, enter "directory.monash.edu.au" as the "Internet directory (LDAP) server". Leave the "My LDAP server requires me to log on" unticked. Click "Next" to continue.

  6. Answer "Yes" to the question "Do you want to check addresses using this directory service?". Click "Next" to continue.

  7. Click "Finish" to return to the "Internet Accounts" dialog.

  8. The directory service now needs to be configured. From the "Internet Accounts" dialog, highlight the entry "directory.monash" and click "Properties".

  9. Change the name in the first box to "Monash Directory Service". The other options should be the same as below.

  10. Switch to the "Advanced" tab. Change the "Search base" to be "o=Monash University, c=au". Leave the "Use simple search filter" option unticked. The other options should be the same as below.

  11. Click OK to save the changes
  12. You can now test whether the service is setup correctly by composing a new message and putting your name in the "To:" field (not your email address) and then click the "Check" option in the toolbar (the one with the human icon). It should find a match for you from the directory.
